Job title: Medical Office Assistant

Job type: Full-time

Context:

Our organization is entering its second phase of development with the addition of health and wellness services to our holistic multi-sector service offering. Integrated into the organization, the Native Montreal Family Health Clinic will provide culturally safe first line health services for families, youth and elders from the urban native population of Montréal as well as traditional healing services. Based on a model of collaboration and complementarity, these services are built in partnership with the public services, including the development of service corridors.

The role of the medical office assistant is essential for the clinic to be effective, efficient and welcoming.

Goals:

To provide support to meet the day-to-day needs and general administrative activities of the Clinic, according to directives and policies. To ensure the reception of users, members, partners, and suppliers with a friendly and efficient approach.

The medical office assistant will report to the Health and Wellness Director and will be based at the Family Health Clinic. This position will also be integrated into the whole Native Montreal team.

Main tasks:

Greeting users and professionals, determine the purpose of their visit, and direct them to the appropriate services;

Ensure and process receipt of deliveries and follow-up with suppliers as well as the entry and exit of mail, phone calls and emails;

Helping users complete documents and medical history forms;

Scheduling and confirming appointments, and manage the calendar of services offer at the clinic;

Updating users health records in an Electronic Medical Record;

Offering administrative support/Assistance with i.e NIHB, Status card, RAMQ, Jordan’s Principle;

Prepare samples and coordinate transport to the laboratory;

Assisting with health Hygiene and safety procedures;

Order and keep an inventory of office and medical supplies ;

Prepare, type, revise and proofread correspondences, invoices, presentations, brochures, publications, reports and other related documents from dictated or handwritten notes;

Record, prepare and follow up on files and minutes of meetings;

Compile reports, data, statistics and other information, as appropriate, to support evaluation activities;

Any other tasks related to the objective;


Requirements Profile:

Academic and professional experience:

Administrative experience in a medical office or clinic or any experience relevant to the function;

Diploma or College Certificate in administration or related field is an asset;

Working knowledge of office equipment, such as printers and fax machines;

Very good knowledge of the Microsoft Office suite as well as Gmail tools.

Experience with an electronic medical file and relational databases is an asset;

Be Indigenous and or have an excellent knowledge of the Indigenous reality, and have work experience in an Indigenous environment;

Good knowledge of the Quebec, First Nations and Inuit health and social services system is an asset;

Skills and Abilities:

Excellent time management skills and the ability to prioritize work;

Attention to detail and problem-solving skills;

Strong organizational skills with the ability to multitask;

Have demonstrated the ability to work in a team, to recognize the expertise of others and to exercise positive leadership;

Respect and sharing of the values ​​of the indigenous culture;

Excellent written and verbal communication skills in French and English

What we offer:

  • Full-time job, 35 hours per week from Monday to Friday

  • Salary according to the experience and the salary scale of the organization ($39 506 - $54 460);

  • Three weeks of vacation after the first year and two weeks of fixed vacation during the Christmas holiday period;
