The history of our organization

Native Montreal is a non-profit, Indigenous community organization that offers a continuum of services encompassing cultural, community outreach, and psychosocial intervention programs for various age groups. We are a friendship center and part of the national and provincial friendship center movement as such, we are an urban service center dedicated to the service of indigenous peoples.

Your mission: To provide support to our managers and employees, to meet the day-to-day needs of our office and to ensure the general administrative activities of our organization according to directives and policies. In addition, you ensure the reception of members, partners, and suppliers with a friendly and efficient approach.

MAIN JOB RESULTS:

Support for the effective, efficient and equitable management of the office as directed by management. 

For example, but not limited to:

  • Prepare, type, revise and proofread correspondences, invoices, presentations, brochures, publications, reports and other related documents from dictated or handwritten notes;

  • Ensure and process receipts of deliveries and follow-up with suppliers as well as the entry and exit of mail and emails;

  • Ensure the management of the organisation’s database of members, partners and suppliers (CRM);

  • Organize, meetings and travel arrangements;

  • Record, prepare and follow up on files and minutes of meetings;

  • Compile reports, data, statistics and other information, as appropriate, to support evaluation activities;

  • Order office supplies and keep an inventory;

  • Initially review accounting documents submitted by the programs (invoices, reimbursement requests);

  • Make data entries as well as accounting and financial classification according to management;

  • Any other tasks related to the objective;

Requests from members, partners, suppliers, are answered reliably and competently. 

For example, but not limited to:

  • Welcome members and visitors, determine the purpose of their visit, and direct them to the appropriate person;

  • entry of registration data for new members;

  • respond and prioritize meeting requests or information received in person, by phone, or by post/email and ensure that a response is provided as soon as possible;

  • any other tasks related to the objective

What you are offering:

Job requirements:

  • A College Certificate in Secretarial Studies or a Diploma of Vocational Studies in Secretarial Studies

  • Proven experience as an administrative assistant, virtual assistant or office administrative assistant or any other administrative position for more than one year

  • Working knowledge of office equipment, such as printers and fax machines

  • Proficiency in Google tools such as email, calendar and Google Drive, MS Office, relational databases such as prodon proloc, Access;

  • Excellent time management skills and the ability to prioritize work

  • Attention to detail and problem-solving skills

  • Excellent written and verbal communication skills in French and English

  • Strong organizational skills with the ability to multitask

What we offer:

  • Full-time job, 35 hours per week from Monday to Friday

  • A competitive salary based on our salary policy ($ 21,71 $ - 32,84 $ per hour; 39 512 - 59 769 $ per year)

  • Pension plan with a contribution from the employer

  • 3 weeks vacation after the first year. (Including two fixed additional weeks for the holiday period available the first year)

  • 15 paid sick days per year 

  • 5 paid days for family responsibilities
