Job posting: Administrative Assistant

OBJECTIVE: To actively assist the management of the center in the efficient management of the office, in accordance with guidelines.

MAIN RESULTS:


Support effective, efficient and equitable management of the MA office according to management direction. For example, but not limited to:

  • prepare, type, revise and proofread correspondence, invoices, presentations, brochures, publications, reports and other related documents from dictated or handwritten notes;
  • set and confirm management’s appointments and meetings;
  • organize meetings, if necessary;
  • organize trips and make necessary reservations;
  • record, prepare and monitor meeting files and minutes;
  • compile, as appropriate, reports, data, statistics and other information to support evaluation activities;
  • any other task related to the objective

Support for the efficient management of accounting resources. For example, but not limited to:

  • initial review of accounting records submitted by programs (invoices, claims);
  • accounting and financial data entry;
  • file accounting documents;
  • prepare and submit deposits;
  • any other task related to the objective

Effective management of office resources according to established policies and procedures. For example, but not limited to:

  • order and keep an inventory of office supplies;
  • establish and maintain manual and computerized filing systems;
  • recommend standards of operation for the office and support its implementation;
  • to resolve problems within their mandate;
  • any other task related to the objective

Requests from members, partners, suppliers, etc ... answered reliably and competently. For example, but not limited to:

  • welcome visitors and members, determine the purpose of their visit and direct them to the appropriate person;
  • enter registration data of new members;
  • respond to inquiries received by telephone and e-mail and transmit phone calls and messages;
  • receive requests for information and follow-up addressed to the general management and ensure that a response is provided as soon as possible;
  • receive and prioritize communications, meeting requests;
  • open and distribute postal / electronic mail and coordinate the flow of information internally and with other services and organizations;
  • any other task related to the objective


QUALIFICATIONS REQUIRED

A. Academic, technical and professional qualifications:

  • A college certificate in office technology or experience in office work or other relevant training
  • Excellent communication in French and English, oral and written
  • Ease of operation in a computerized environment
  • Mastery of the Office Suite
  • Mastery of Google tools such as mail, calendar and drive


B.Work experience and job skills:

  • A proven track record, 3 - 5 years of experience relevant to the position

What we offer:

  • A competitive salary according to our salary policy (33 327 - 40 548 $ per year)
  • Full-time job, 35 hours a week, Monday to Friday
  • 2 weeks of vacation after the first year. (Including two extra weeks fixed for the holiday season)
